Role Overview
The Production Coordinator will be a critical support pillar for our production and R&D teams, focusing on the seamless organization and flow of assets and data within our virtual production pipeline. This role is ideal for an exceptionally organized and detail-oriented individual with a foundational understanding of virtual production principles and Unreal Engine / AI asset creation. You will be responsible for managing communication, tracking complex tasks and deliverables, and maintaining clear documentation across projects at the intersection of filmmaking and emerging Generative AI technologies. Your ability to learn quickly about new AI workflows will be key to your success in this cutting-edge environment.
Key Responsibilities

Production & Team Coordination
Streamline communication between technical artists, developers, production leads, and post-production teams to ensure alignment on project goals and deadlines.
Facilitate and run review sessions for virtual assets and process milestones, capturing detailed notes, clear action items, and disseminating them promptly to all relevant stakeholders.
Track tasks and deliverables using project management software, ensuring all assets and data are submitted, reviewed, and finalized according to the production schedule.

Virtual Production Workflow Management
Assist in the coordination of Unreal asset creation, ensuring all incoming 3D assets adhere to established technical specifications, naming conventions, and file structure best practices.
Document processes and create clear, comprehensive guides for virtual production workflows, pipeline standards, and asset ingestion, aiding in team onboarding and long-term knowledge retention.
Support the Virtual Production Supervisor in scheduling resources, booking virtual stages or necessary technical time, and managing daily production needs.

Generative AI Integration Support
Actively demonstrate an interest in learning about AI and its application in film production, particularly concerning asset creation, world-building, and virtual environments.
Coordinate the testing and integration of new Generative AI tools and workflows into the existing virtual production pipeline, tracking results and feedback.
Qualifications
2+ years of experience in a coordination, production assistant, or project management role within the film, television, VFX, or gaming industries.
Proven ability to work in a fast-paced, innovative environment with excellent organizational and time management skills.
Outstanding written and verbal communication skills, with a professional and enthusiastic tone for interacting with diverse teams.
Demonstrated experience in taking detailed notes and translating complex technical discussions into clear, actionable tasks.
Technical Skills / Qualifications
A foundational understanding of Virtual Production, AI, Animation or VFX methodologies and terminology.
Familiarity with Unreal Engine and the pipeline for creating and managing 3D assets within the engine (e.g., blueprints, geometry, materials).
Proficiency with project management tools (e.g., Jira, Asana, Monday, Trello) for tracking tasks, bugs, and production progress.
Experience with documentation tools (Google Docs) for process mapping and knowledge sharing.
